Sovereign Operator Best Practices & Data Hygiene

ContentOps is not a passive SaaS tool; it is a live database that you own and control. Like any high-performance engine, it requires standard operating procedures.

The Golden Rule: If your data hygiene slips, your AI will lose context, and the “Time Thief” will creep back in. Follow these rules to keep your machine flawless.

1. Data Hygiene & Version Control

The Daily Export: At the end of every session, click Export Master. Save files as Map_V2.json, Map_V3.json. This is your insurance policy.

Flash Inject vs. Sync:

  • Flash Inject: Use this for adding new nodes. It surgically appends code without overwriting existing data.
  • Sync Database: Use this only for a full, fresh master upload (backups or audited maps).

The “Stadium Lights” Rule: Whenever you start a new AI Chat, paste your most recent JSON export first. This ensures the AI is referencing your exact, up-to-date architecture.

2. Topical Map Mastery

  • Cluster by Intent: Group by semantic intent (e.g., “Beginner Strategy”), not exact-match keywords.
  • The “INTERNAL_ADMIN” Cluster: Keep your map clean by moving Help Centers, Privacy Policies, and Author profiles here. Keep them out of your main SEO strategy views.
  • The “Offers & Landing Pages” Cluster: Place all sales pages here. The app’s dropdown menus are hardcoded to pull from this specific cluster.
  • Media Strategy Checkbox: Always check “Has Video Strategy” to flag nodes needing a YouTube embed or SlideShift deck.

3. Publishing Accelerators

Always Wrap Before You Audit: Never drop raw Google Docs text into the Audit Suite. Run it through the Smart Wrapper first so the AI sees clean, semantic HTML.

The Splitter: By default, split by H2. Only use H3 splitting for massive, nested sections that require custom image widgets.

🚨 CRITICAL SLIDESHIFT RULE: When setting your destination file URL, delete the filename. Leave only the base URL up to the date path (e.g., .../2026/04/). SlideShift appends the filename automatically.

4. The Audit Suite

Audit the Reality, Not the Draft: CMS editors hide structural bloat (broken tags, empty spans). Always go to the Live URL, hit Ctrl+U, and paste the raw HTML into the Audit Suite.

Mission 3 (Power Up) is non-negotiable: New content is a ghost. You must use Mission 3 to identify older posts and inject links pointing to the new article.

5. The Harvester Habit

An unwired node is a dead node. The single most important habit in ContentOps is The Harvester Run. The moment you hit “Publish” in your CMS, immediately right-click your live post, Ctrl+U, and drop it into the Harvester tab.

This prevents Logic Drift, ensuring your map and your live site remain perfectly synced bi-directionally.
